What to do after a phone interview: thank-you and follow-up

The call went well. Neha hung up, closed her laptop and waited. A week passed. Then two. She didn't know whether to email, or what to say, or whether emailing would look desperate.

It wouldn't have. But she'd also missed the one thing that makes following up easy: she never asked when to expect an answer.

What should you do in the first ten minutes?

Write it down before you forget it.

These notes make the thank-you email easy and the next round much easier.

Should you send a thank-you email?

Yes, within 24 hours, and keep it to three sentences. It rarely wins the job on its own. But it's a second, written impression, and a forgotten one is a small missed chance.

Subject: Thank you – Product Analyst call

Hi Rohan,

Thanks for your time today. I especially enjoyed hearing about the move to self-serve pricing; it's exactly the kind of data problem I'd love to work on. I look forward to hearing about next steps.

Best, Neha

One specific detail from the call is what makes it more than a template. Send it to each person on the call, or to the recruiter if theirs is the only email you have.

When should you follow up?

On the day after the date they gave you. If they gave no date, wait one week.

Subject: Following up – Product Analyst role

Hi Rohan,

I hope you're well. I wanted to check in on the Product Analyst role after our call on the 10th. I'm still very interested, and happy to share anything else that would help.

Best, Neha

What if you hear nothing?

Follow up once more, a week later, then move on. Silence usually means the process is slow, or another candidate is ahead. It rarely means you did something wrong.

Keep applying while you wait. The best way to stop refreshing your inbox is to have another call booked.

What if you realise you gave a weak answer?

You can fix one thing, briefly, in your thank-you email.

"On reflection, I undersold the vendor project. We cut onboarding time from three weeks to one, which I think is relevant to the role."

One sentence. Don't rewrite the whole interview.

What should you avoid?

Quick answers

Should I send a thank-you email after a phone interview?

Yes. Send a short one within 24 hours that thanks them and mentions one specific thing from the call.

How long should I wait to follow up after a phone interview?

Until the day after the date they gave you. If they gave no date, wait about one week.

How many times should I follow up after an interview?

Twice at most, about a week apart. After that, move on and keep applying.

Does no response mean I didn't get the job?

Not necessarily. Hiring processes are often slow. But keep applying elsewhere until you have an offer in writing.

What should I write in a follow-up email?

That you're checking in on the role, when you spoke, that you're still interested, and an offer to share anything else that helps.
